Receipt Template for Excel: Free Layouts to Customize

Choose and customize a receipt template in Excel: set up the columns, totals and numbering for acknowledgement, official or lorry receipts.

If you need to give a customer proof of payment, or send delivery paperwork with a shipment, a blank page rarely does the job. A receipt template excel workbook gives every receipt the same fields in the same places, and the arithmetic happens in cells instead of in your head. That matters most when you issue more than a handful of receipts a month.

The problem is that many downloadable receipt files are built for one country, one industry or one printer setup. Before you open any file, decide which kind of receipt you actually need: an acknowledgement of payment, an official-style numbered receipt, or a lorry receipt for goods in transit. Each one asks for different information, and a layout that fits one can leave out fields the others require.

This guide shows you how to choose a layout, what each part of the template should contain, and how to set up columns and totals so they recalculate when you edit them. You can open and adjust the workbook in UniCell, the spreadsheet editor in the OmniDoc desktop client, or in any spreadsheet app that reads Excel files.

Which receipt template in Excel fits your case? The short answer

Start from a receipt workbook with a header block, a line-item table and a totals section, then rename the labels and add the fields your receipt type requires.

Line itemsDescription, quantity, unit price, line amount3-10 rows
TotalsSubtotal, tax, total, amount in words3-4 lines
Payment and notesPayment method, reference, terms, signature line2-4 lines

How to write each part

Header

Put the receipt title, a unique receipt number, the issue date and the issuer's name and address at the top. Type the receipt number as a plain value, and increase it by one for each new receipt. Never reuse a number, even if a draft was deleted.

Example: "Receipt No. [number] issued on [date] by [business name]."

Parties

For an acknowledgement receipt, list the payer's name and contact details. For an official-style receipt, add the buyer's tax identification if your local rules require it. For a lorry receipt, list the consignor (sender), the consignee (receiver), the pickup and delivery locations, and the vehicle registration.

Example: "Received from [payer name] for the account of [recipient name]."

Line items

Use four columns: item description, quantity, unit price and line amount. The line amount is quantity multiplied by unit price, so put a formula in that column and copy it down the table. For a lorry receipt, replace the price columns with the number of packages and the weight of the goods, plus a column for any noted condition.

Example formula for the first line: in cell D8, enter =B8*C8, then fill the formula down to the last item row.

Totals

Calculate the subtotal with a SUM formula over the line amounts, then add tax as the subtotal multiplied by a tax rate cell. Store the tax rate in its own cell rather than typing it into each formula, so you change it in one place. Keep the amount-in-words line as typed text, since converting figures to words is not something a basic spreadsheet does reliably.

Example: "Total due: [amount] including [tax rate] tax."

Payment and notes

Record the payment method, any reference or transaction number, the date paid and any terms. A lorry receipt should also note any damage or missing packages at delivery, because that information protects both parties. Leave a signature line for the person who receives the goods or payment.

Example: "Paid by [payment method] on [date], reference [reference number]."

Format it in the editor

  1. Open the template in UniCell in the OmniDoc desktop client, which you can download at download.omnidoc.top, or in your usual spreadsheet app.
  2. Widen the description column so text wraps without hiding part of the line, and widen the amount columns so numbers do not display as hash symbols.
  3. Bold the header row and the total line, and freeze the rows above the first line item so the column labels stay visible while you scroll.
  4. Set the print area to cover only the receipt, and set the page to fit one page wide so the receipt does not split across sheets.
  5. Lock the formula cells and the header labels, so a typing error in a quantity cell does not overwrite a formula.
  6. Save the workbook as your editable master, then export a PDF copy for the customer. If the receipt needs a signature, add it in the PDF editor in the desktop client.

Common mistakes

  • Reusing a receipt number after deleting a draft, which creates two receipts with the same identifier.
  • Typing totals by hand instead of using formulas, so one changed quantity leaves the total wrong.
  • Hard-coding the tax rate into every formula, which makes later rate changes error-prone.
  • Sending the editable Excel file when the recipient needs a fixed layout that will not change.
  • Using one layout for every receipt type, which leaves out required lorry or official fields.
  • Skipping a final check. Compare the total against the line items before sending, and review any text you did not type yourself.

❓ FAQ

1. Is an official receipt template in Excel accepted everywhere?

No. Rules for receipt numbering, tax fields and format differ by country and sometimes by industry. Check with your tax office or accountant before you use a layout for official purposes.

2. What information does a lorry receipt need?

A common set is the date, consignor and consignee, pickup and delivery locations, vehicle number, description of the goods, package count or weight, and any damage noted at delivery. Add any fields your transport contract requires.

3. Should I send the receipt as an Excel file or a PDF?

Send a PDF when you want the layout to stay fixed. Keep the Excel file so you can edit the receipt and reissue it if something changes.

4. How do I keep receipt numbers in order?

Keep a running log, either on a separate sheet in the same workbook or in a separate file. Record each number the moment you issue a receipt, and mark voided receipts instead of deleting them.

📝 Summary

A receipt template excel workbook works well when the fields match the receipt type, the totals come from formulas and receipt numbers are never reused. Start with the layout in this guide, adjust the labels for your situation, and check every total before you send it.
